7 Things to Note While Upgrading Your Workspace

January 31, 2022 by Jeremy Lindy

The average person spends a third of their time at work during a lifetime. That's a big reason to prioritize your workspace and ensure you enjoy the work you do. In addition, making sure you have the correct equipment, such as an ergonomic chair, to do your job is vital for productivity and your well-being. So, if you plan on upgrading your workspace or desk chair, you need to prioritize a few things.

Take a Look at the Space

Space in an office is essential and not just because of social distancing. You need room to position your office chair and workspace so you don't end up in an awkward position or strain your eyes with poor lighting. Do you have the room to move around without feeling jammed in by your office chair? Is there equipment or office material that no longer needs to be there? If so, make those changes. Ventilation is also crucial in shared office spaces right now, so look for places where you can open a window if needed.

Prioritize Ergonomics

Repetitive strain injuries and back pain cost the economy millions of dollars a year in lost productivity. Setting up your desk space so your computer and ergonomic chair are positioned correctly is vital, so your body is supported. For example, your feet must touch the ground, and your PC needs to be at the correct height to work. In addition, you should be able to stretch your arms out to reach the keyboard. Make sure your desk chair can support you adequately by checking SitWorkPlay for the best ergonomic chairs. If you already have mobility problems, your employer should adjust to accommodate you in the office space. The correct ergonomic office equipment will make a big difference to your work by keeping your body supported. If you have to prioritize anything to buy, it has to be an ergonomic chair, so you protect your health.

Clear the Clutter

If you upgrade your workspace, it is ideal for clearing the clutter from shelving, filing cabinets, and desk drawers. You'll be surprised at how much has accumulated, but also the amount of stuff you no longer use or need. Take the opportunity to have a clear-out. If your workplace has an archive policy, arrange for relevant documents to be stored. Now you can look forward to a cleaner and clearer workspace.

Use a Clear Desk Policy

When you upgrade your workspace, be sure to have a clear desk policy. After you finish work, tidy any papers and correspondence away and off the desk surface. There are several good reasons for doing this each day. Firstly, it helps maintain privacy around any sensitive documents. It also helps keep spaces clear if you have a hot-desking policy at work. Papers left on a desk tend to accumulate and become untidy. And finally, a messy desk leads to unproductive and distracting behaviors. If you are working from home, you can pack away your desk in a specially designed box so you clearly define your working hours and avoid clutter in the house.

Think Lighting

As part of a workspace upgrade, think about the lighting. First, you need to be sure you have sufficient light to avoid eye strain. Use natural light where possible, and position the desk space, so you are not constantly working in a shadow. Some desk lighting may help with reading or detailed work. You also need to watch out for any glare on your computer screen and re-position the PC or use a shield.

Check Cabling

Today's office space has a lot more cables and electricity than before with people charging phones and laptops. Check your workspace for any trailing wires that could be a trip hazard. You can get cable tidying gadgets that will stop tangling and stretched wires. Ensure that any workspace upgrade has sufficient charging points to avoid overloading plugs and cables. Lines should also be clear of any runs used with office chairs being moved as any wear or pressure can damage them.

Personalize and Make a Welcoming Space

When upgrading your workspace, it's a beautiful opportunity to personalize the area and make it welcoming. Look at a color scheme for accessories and folders, and have a photo or two on the desk. Some ergonomic chairs are brightly colored too. Do take a moment to think about vibrant, energizing colors that will motivate you in your new workspace. Using a few personal items brightens the area, but don't overdo it. Too many toys and personal items, and it doesn't look professional. A plant is another accessory that works well in an office space.

Being able to reshape and upgrade your workspace is an excellent opportunity to clear out and ensure you have the best equipment. Spend time planning and ensure you have good ergonomic equipment, including chairs and wrist supports. When you are established in a clear and professional workspace with the correct equipment for the job, you will feel and be more productive.
